AI Admin Cleanup — for Australian small businesses

Clear the admin work slowing your business down.

In 14 days, we find and improve the admin workflows wasting your team's time — using the tools you already have, with a human approving anything that matters.

The test

Is this task worth automating?

Not everything should be automated. A task is a good candidate when it passes four tests:

It repeatsIt happens every week, in roughly the same way.
It's rules-basedThe steps can be written down and followed consistently.
It's low-riskA draft or a summary is useful even before it's perfect.
A human approvesNothing reaches a customer or a ledger without your say-so.

Outcomes

What a cleanup actually does

Measured, practical improvements — not "AI transformation".

Win back admin hours

Typical admin tasks we target take 5–15 hours per week. Results depend on your workflow and team adoption — which is why we measure before and after with your team.

Get invoices chased, systematically

Every overdue invoice followed up on schedule, with drafts your team approves before anything is sent.

Cut software waste

An AI subscription at A$20–40/month can handle tasks that might otherwise require additional tools — core systems like accounting and CRM stay.

Respond faster

Respond faster using tools you already have — enquiry summaries, drafted replies and follow-up trackers, ready when your team starts the day.

The process

How the Admin Cleanup Sprint works

A fixed 14-day engagement with a clear start, middle and handover.

1

Workflow discovery

A 60–90 minute interview and tool-stack review. We map your workflows, run a privacy/data review, and rank your top 5 opportunities by return.

2

Build sprint

We build 2–3 practical improvements — for example lead-enquiry summaries, a quote follow-up tracker, invoice reminders, email triage, or a weekly owner summary.

3

Staff enablement

A 60-minute training session (up to 8 staff), prompt templates, "what not to put into AI" guidance, and clear human-approval rules.

4

Handover pack

Before/after workflow map, SOPs, prompt library, tool and access notes, a 30-day plan, and a keep/cancel/review list for your subscriptions. Plus 14 days of handover support by email.

Pricing

Our discovery guarantee

If we cannot identify at least five practical automation opportunities during Discovery, you pay nothing for the Discovery call. We're currently taking 3–5 founding clients at beta pricing in exchange for a testimonial, a case study, and permission to measure results.

Good to know: you'll need a ChatGPT Plus / Claude Pro subscription or equivalent (A$20–40/month) for the tools we set up. Cross-system integrations requiring paid middleware (e.g. Zapier/Make) are scoped separately.

Examples

What the improvements look like

Three of the workflows we build most often. All demos use sample data — never a real customer's information.

Lead-response drafts

Every new enquiry is summarised and a reply drafted within minutes. Your team reviews, tweaks and sends — nothing goes out unapproved.

Quote follow-up tracker

Sent quotes are tracked automatically. When one goes quiet, the follow-up is drafted and queued for approval instead of being forgotten.

Weekly owner summary

Sales, invoices and open tasks combined into one short brief in your inbox each week — assembled automatically, checked by a human.

The safety rule, always

A human approves before anything is sent to a customer, before financial records are updated, before bookings are changed, before client data is edited, and before sensitive information is shared. Automation drafts and organises — people decide.

Fit

Who this is for

A strong fit

  • 5–50 staff
  • Email, spreadsheets and accounting tools are part of every week
  • You can name at least one admin task your team repeats constantly
  • You want measurable ROI, not an "AI transformation" program

Not what we do

  • Custom software development
  • Replacing your accounting, payroll, POS, CRM or job systems
  • Legal, tax, financial, medical or HR advice
  • Fully autonomous customer communication with no human approval
  • Putting sensitive data into unmanaged AI tools

About

Why we're building this

AdminClear is a solo-built practice founded by a data-governance professional. Large organisations get teams and budgets to fix their admin systems; small businesses get left retyping the same emails. We started AdminClear to close that gap — carefully, measurably, and with your data handled properly. We deliver remotely and are relocating to Melbourne in January 2027. Our privacy/data review flags obvious risks (for example, customer data sitting in unmanaged AI tools) — it isn't legal or compliance advice, and we'll always say so.

Questions

Fair questions

We're too small for AI, aren't we?

Small is exactly where this pays off. A five-person business has no spare admin capacity — one repeated task cleaned up is felt immediately. The audit exists so you can see the numbers before committing to anything bigger.

What about privacy and our customer data?

Data care is built into the process: a privacy/data review in discovery, human approval rules, and a clear "what not to put into AI" guide for your team. We work inside reputable tools and never train anything on your data.

Will this replace my staff?

No. The goal is to remove the repetitive work your team dislikes — chasing, retyping, assembling reports — so their hours go to customers. People stay in charge of every decision and every send.

Why not just use ChatGPT ourselves?

You can — many businesses start there and stall, because a chatbot alone isn't a workflow. We connect the tools, write the templates, set the approval rules, train your team, and document everything so it survives staff changes.

How does this work if you're not in our office?

The whole sprint is designed for remote delivery: video calls for discovery and training, shared documents for the handover pack, and email support throughout. Australian small businesses are our only focus.

Start with one conversation.

Twenty minutes. We'll talk through the admin work your team repeats every week and whether it's worth automating. If it isn't, we'll tell you.
